If you need to book multiple adverts into one issue, there are 3 different ways you can add it:
Method 1: Create a New Booking - Using another “click to book" box
In this example, we want to book a second advert in January 2024.
We can “click to book” in March 2024 and then click 'complete booking'.
Next we simply change the issue to the one we want in the drop-down box on the left.
This shows a warning in pink telling us that we already have a booking in this issue, but this can be ignored for now.
You now need to create a new artwork box for the new booking, do this by clicking 'new advert' at the top right of the screen if you want to select a different size. Or you can duplicate an existing empty artwork box by clicking the plus in the top-right corner of the existing artwork box.
Drag & drop the new artwork box down onto the new booking line. It is important to do this so that the two bookings have two separate artwork boxes on the flat-plan.
Finally, click 'Save Booking'. We will now have two advert bookings in the same issue.
Method 2: Add To An Existing Booking - Use the green “plus” buttons
Open the exisiting booking > Click on the green plus at the end of the booking line. By default, MagManager will set up a duplicate booking for the next issue, but you can change the issue from the drop-down list on the left. When you do this, the duplicates will be highlighted in pink as MagManager will warn you that you already have an advert in this booking, but you can ignore this for now.
You now need to create a new artwork box for the new booking, do this by clicking 'new advert' at the top right if you want a different size. Or you can duplicate an empty artwork box by clicking the plus in the top-right corner. Drag & drop the new artwork box down onto the new booking line.
On your flat plan you will now have two adverts for the same client. You can rename them if you wish- see the chapter on the flat plan for details.
NOTE: you won’t see the green plus buttons here if a booking has already been invoiced. You would need to use one of the other methods.
Method 3: Create A Provisional Booking - Then confirm it.
NOTE: Provisional Bookings can be switched on by going to the main settings page > Under Settings > Select System Defaults > Toggle the switch on for Use Provisional Bookings.
If you have provisional bookings switched on, you will see a + symbol next to the required publication. Click on this, and you will now have a new pink row labelled 'Publication Name TBC' for provisional bookings.
You can “click to book” in the TBC row for the publication you want and add a provisional booking in the usual way.
You can now confirm the booking by dragging the pink box from the 'Publication Name TBC' row into the row above with the 'Publication Name'. (To drag click on the cross arrow to the left of the pink box). The pink box will turn blue and 'Booking Updated' will flash across the top of the screen.
Or click on the pink box to open the provisional booking and click the purple 'Confirm' button then 'Save Booking'.
The booking will now show as confirmed on the Booking Grid
