Adding an unsubscribe link to a mailshot

To allow a client to unsubscribe or to update their contact preferences, you must include an “update preferences” link at the end of all your marketing emails. This is needed for compliance with the EU General Data Protection Regulation (GDPR) legislation.

In MagManager, when you create an email template using the "general" context, you will have the option to add a token which creates a link allowing your clients to update their contact preferences. To allow a client to unsubscribe or to update their contact preferences, you must include an “update preferences” link at the end of all your marketing emails.

If your client clicks on the link, they will be taken to our customer portal where they can easily record their contact preferences or unsubscribe. 

Firstly, enable the Customer Portal by going to Settings System Defaults and in the Client Portal section, toggle on the switches for “Use Customer Portal.” You will need to customise the portal with your own logo and add your privacy policy and terms and conditions. To do this, go to Settings Settings Customise Portal. See our notes on the customer portal.

Email templates can be created on-the-fly when you are producing a mailshot, or by going to Settings Document Templates and clicking on the My Documents tab. 

For example, using your own choice of words, you could add this line at the bottom of the template: “To update your preferences, please click     "

The token will be replaced in the actual email by the word “here” and a link to the customer portal.

Clicking “here” will take your client to the customer portal.

This screenshot shows what the client portal looks like in MagManager. You will need to customise the portal header and footer with your own logo and company name. Any clients who have “do not contact” in their consent on MagManager will not be included when you select “General Communication” (this is what you would use for marketing), but they will still be selected if you make a different choice (legislation such as GDPR allows some contact on existing business when clients have opted out of marketing).

 

Once the client updates the details, a new entry is added to the consent tab on the client record to reflect any changes they have made.

When you select clients to send a mailshot to, any with no consent will be excluded.  You can see who they are by clicking on the tab across the top titled 'clients have no consent'.
