Credit note

To create a credit note in MagManager

First create a Misc Sales Item called credit note if you do not already have one set up.

From the main settings page > Under Publications & Bookings - select Miscellaneous Sales Items and create a New Item by clicking on the Green New Item button > Name it Credit Note & Save.

If your MagManager account is connected to a third party accounts package follow the notes further down:
To create a credit note when connected to third party accounts package

 

To create a credit note 

1- Open the client record > Click Bookings then Miscellaneous Tab > Click to book the box for the required publication and issue > Click Complete Booking.

Select Credit note from the dropdown box > Add a Description if required > Enter the Price as a minus eg -75.00 > Click Save Booking.



2 - To create the invoice for the credit note > Open the client record > Select Financial Tab > Select Create Invoices Tab > Locate & select the booking for the credit note > Click Create Invoice for 1 booking now.

3 - Once created the credit note will appear on the Invoices tab as a minus amount.

4 - To mark it as paid/refunded > Click the red X in the Paid column > Enter a Date > Enter a Reference if required > Select the refund Type from the dropdown > The amount will appear automatically > Click Save. 

 

To create a credit note when connected to third party accounts package

1- Open the client record > Click Bookings then Miscellaneous Tab > Click to book the box for the required publication and issue > Click Complete Booking.

Select Credit note from the dropdown box > Add a Description if required > Enter the Price as a minus eg -75.00 > Click Save Booking. (Screenshot below for reference). 


2 - Go to the main settings page > Under Settings select System Defaults and change the Accounts Package from the current setting to to Sage > Click Update.

3 - Go to Bookings (top navigation bar) > Select the publications and issues the client is booked in > Locate the client and their Credit Note/Misc Booking (typing their name into the search box will make them easier to find) and click on the red X in the invoiced column, it will turn to a green tick. 
This marks the credit note/ misc booking as invoiced, as you cannot transfer an invoice with a minus balance.

4 - Go to the main settings page > Under Settings select System Defaults and change the Accounts Package back from Sage to the one you use to reconnect > Click Update.

5 - Raise a credit note in your accounts package and refund the client.
