Transferring Data from One MagManager Account to Another

Transferring Clients

To import customers to MagManager you must use the template 'MMTemplate.xls' (this can be dowloaded at the bottom of the page). 

Step 1 - Gathering the data

Open the account you want to export the data from and Select Reports on the top navigation bar

Under Customers > Select All Companies > Click the grey area > Click the Export icon and choose CSV(comma delimited) - to download the data.

NOTE: The maximum records you can import per spreadsheet file is 400.  If you have more than 400 records to import, you will need to create separate files and upload them in batches.

 

Step 2 - Copy Data to Import Spreadsheet

Copy the required exported data into the MMTemplate.xls

The required fields are Company Name, Address 1, Postcode, First Name and Surname. They cannot be left blank. The other fields are optional and can be left empty.

We recommend you sort the order of the file into alphabetical order prior to importing the file. 

Should you plan on bulk adding flags to your data after it has been uploaded, we recommend you plan your import so that all the clients in each batch will have the same flag applied to them. This will speed up the process for you, when it comes to adding the flag name to the spreadsheet.

 

Step 3 - Importing the client data to MagManager

 
To import clients into MagManager you must be an admin user - Click on the gear icon, top right of screen > Under the heading Import - select Import Customers.

Click in the box marked 'To upload a file either click or Drag and Drop a file here' select the file you want to upload.

MagManager will disaply the number of clients to be imported eg The blue button "Import 1 of 1 customers".

If there are any issues on your entries the import column will contain a red X, with a message in the Errors column.  To sort the listing to display any entries with errors, click the up/down arrow to the right of the Errors heading. You can either ignore these and only the correctly formatted entries will be imported or click “remove file”, fix the errors by updating your spreadsheet and try uploading your file again.

Once you are happy - click the blue button "Import 1 of 1 customers" to import the clients to your MagManager account.

A green banner with the message Customer Imported will flash across the top of the screen.

Transferring Bookings

Open the account you want to export the data from and Select Bookings on the top navigation bar 

Choose the Publications & Issues

Click the Print Icon and download the data as a CSV.

The data in the CSV file should be copied into the relevant fields in the 'MMTemplate Bookings' file which is required to import bookings. (this can be downloaded at the bottom of the page).

An example of the file is below, the required data fields are Customer, Publication, Issue, Advert & Price.

mceclip1.pngCompany Name - this must match exactly the company name in your MagManager account.  EG (JS Smith and J S Smith will NOT match).

Publication - this must match the name of the publication in your MagManager account.

Issue - this is the issue the advet is booked into and should be in the format Jan-2022 for the January issue.

Advert - this is the name of the advert booked and should match the name set up in your MagManager account eg Quarter Page

Page - this can be left blank

Price - the is the amount being charged for the advert

Term - this can be left blank

CustomerID - this can be left blank

 

Important: The acccount receiving the imported bookings should make sure the following things have been set up:

The Publication and issues have been created

The Adverts being used have been switched on

Let us know the size of any adverts that have been renamed eg Small Box Directory (eighth page) - this is required to allow us to match the advert name with the advert size.

 

Once the data has been added to the MMTemplate bookings file - send the file to support@magmanager.co.uk and the team will import the bookings for you.
