The Flat Plan Screen

The Flat Plan screen is made up of 2 parts, the Sidebar Panel and the Flat Plan Pane. You can use the flat plan in 2 ways, with clients and bookings or without clients & bookings, where you can add adverts and content directly from the sidebar of the flat plan.

NOTE : You may well use a combination of both methods with your flat plan, so you should watch both videos

 

The Sidebar Panel

Which is made up of the following elements:

  • Back Button - Click this button to take you back to the previous page. Generally this will be the Flatplan Overview screen or the Client Booking grid if you accessed the flat plan directly from there.
  • Switch Issue dropdown - Lets you quickly switch between issues when you have multiple publications.
  • Select Theme dropdown - This will be visible if you use Themes. Selecting a theme will highlight bookings associated with the theme.
  • Show Artwork - A switch to flick between showing artwork or not.  
  • Show Grid - A switch to turn the page grids on or off.
  • Show Sections - A switch to turn sections on or off. The colours will change if you have colour coded your sections.
  • Listing of All Active Advert/Content Sizes - these will appear, with the number of bookings listed and an arrow to expand the listing to display an entry for each client's booking.

To expand the advert/content listings under each size > Click the arrow next to the number > A separate entry is listed with the client's name for each booking.

When Show Artwork is switched on a thumbnail of the artwork will appear instead of the name.

 

Q : I can't see my advert or content in the adverts listed on the navigation bar?

A : There are 3 possible reasons for this.

  • Check the client's booking and make sure they have an advert booked in this issue.
  • Check the client's Booked Content to make sure they are booked in this issue.
  • Search on the top navigation bar of the Flat plan to check the client isn't already set on another page of the Flat Plan.

The Flat Plan Pane

The Flat plan of the issue you have selected is displayed with the publication name and issue at the top of the screen.

  • Blank Pages - The Flat plan is ready for you to set articles/content.
  • Green - indicates the artwork for the adverts/content has been approved. 
  • Pink - indicates the artwork is to be specified and not yet approved.
  • Amber - indicates you are awaiting input from the client to supply or approve the artwork.
  • Padlock - indicates a booking that has been made with a preferred position selected, they are placed straight onto the flatplan and not onto the sidebar.
  • Advert flag icon - these are bespoke flags to identify adverts on the flatplan.  See the notes on advert flags for more details. 
  • Region Marker - Used to identify sections of the flat plan. See the notes on region markers for more details. 
  • Red X - Click to set the page as complete - This adds a gold border around the page and also starts to process of creating the PDF that forms part of the digital flipbook.  See the notes for more details on the digital flipbook.
  • Green Tick - Click to take the page complete setting off.
  • Double arrows - Used to swap pages.
  • Single arrow - Used to move a page.

The colours are covered in the notes on Artwork Statuses. Adverts appear as a darker shade with Content a lighter shade of green, pink and amber.

 


How to add adverts and content to the flat plan for clients with bookings

When you open the Flat Plan all client bookings for adverts and content will be listed in the sidebar panel.

Click the arrow on the side bar next to advert/content sizes > The entry will expand displaying a list of client bookings > Locate the client's name, click hold and drag and drop the advert/content onto a page of the flat plan.

To open the advert/content details screen > Click on the advert/content from either the sidebar or on the Flat Plan 
 

Overview of each element on the Advert/Content Details page:

Company - Enter the client's name or title for content.

Status - The advert will appear pink when the New or Being Designed status are set. Approved statuses are green and those Awaiting Customer Artwork or Artwork Approval are amber.  The notes on artwork statuses provide more details.

Crop Marks - (Full Pages Only) - This setting should be turned on only if your arwork has cropmarks

Has Bleed - (Full Pages Only) - This setting should be turned on only if your artwork has bleed.

Border - Switch on to add a lined border to the artwork, and set the colour and size.

Colour - (Appears when Border is switched on) - Click to set the border colour.

Width - (Appears when Border is switched on) - Enter the border width.

In Index - This setting is on by default and is used by the Auto Publish Advertiser Index to create the index.  Note: if you are using the Reports / Indeces to create your Advertiser Index, this button has no bearing as those reports, as those reports are based on the advert being placed on the flat plan.  

Assigned to - Set this to the user or designer who is working or managing the artwork.

Due Date - Set the date of when the arwork is due.

New Note - Click to add a note relevant to the artwork.

Download - Click to download a copy of the artwork to your computer.

Upload Artwork - Click to upload new artwork.  Or drag and drop artwork onto the the advert box.

Clear Artwork - Click if you need to clear the existing artwork

Note: Once an issue has been marked as complete the Upload Artwork & Clear Artwork will be greyed out to prevent you from deleting the artwork. Click View Booking and add a new advert/content to the booking line for the issue in order to upload new artwork.

Close - Click to close the advert details window

View Booking - Click to open details of the booking.  If new artwork is required this is where you would update the booking by adding a new advert/content to the booking line, to allow you to upload a new piece of artwork.

Save - Click to save any changes.

            


How to add adverts and content to the flat plan without a booking

The process is the same for all advert/content sizes > To create a full page advert > Click the arrow on the side bar next to Full page > Click New Advert or New Content and drag and drop it onto the page of the flat plan.  (The Add content option allows you to add articles from your MagManager Content subscription directly to the flat plan.)

The Advert/Content Details box will appear > Enter the details and Save.

Once artwork has been uploaded you will notice a few additional elements:

 

Border - Switch on to add a lined border to the artwork, and set the colour and size.

Download - Click to download a copy of the artwork to your computer.

Upload Artwork - Click to upload new artwork.  Or drag and drop artwork onto the the advert box.

Clear Artwork - Click if you need to clear the existing artwork

Note: Once an issue has been marked as complete the Upload Artwork & Clear Artwork will be greyed out to prevent you from deleting the artwork.

Used In - This displayed the Publication(s) name and issues that this artwork is being used in.

Auto Crop - Use this to automatically remove crop marks from artwork eg where half page advert has been supplied with crop marks.  The artwork is cropped along the trimbox set within the PDF. As this action cannot be undone ensure you have a copy of the artwork file before proceeding.

Check Colour Space - Clicking this button will perform a preflight check of the artwork.  If the Ninja detects any RGB colours a warning will display across the top and a warning triangle will appear in the check colour space button.

Delete - (only appears on advert/content added directly to the Flat Plan) - Click to delete, you will be asked to confirm.  This will delete the advert/content completely and cannot be undone.

 

Q : I don't have the customers artwork?

A : Set the status to Awaiting Customer Artwork, the advert will appear amber on the flat plan as an indicator that the artwork is required and can be added at a later date. By clicking on the artwork box, this opens the advert/content details as above, the artwork can be uploaded from there. 

 


How to move adverts & content around the flat plan

Flat Plan Drag and drop - the adverts/content already on the Flat Plan can be moved around by clicking on the advert/content and dragging and dropping it onto another free page. 

Side Bar Drag and Drop - the adverts/content in the side bar can be moved onto the Flat Plan by selecting them from the side bar and dragging and dropping them onto a free page of the Flat Plan.

Swap with another page - this function can be found at the bottom right of each page. Click the two arrows and enter the number of the page you wish to swap with > The two page will be swapped.

Move to another page - this function can be found at the bottom right of each page . click the single arrow and enter the number of the page you wish to move to > The page will be move to the new page.

Tip: If you have a lot of adverts and content to move, drag them off the flat plan and onto the side bar, they will appear in size order. Click the arrow for the corresponding size and the advert will appear. Click the advert/content and drag it back onto the Flat Plan.
